In the Before You Begin section, completing the Graduate Status Reconciliation section will refine your institution’s data, resulting in improved data validations for the completers list, student level report and program level report. In this section, you will review the student records that received a degree but a G Program Enrollment Status was not reported. This section allows the opportunity to update that status and program status effective date.
This session is intended for post-secondary institutions active with Enrollment Reporting.
Transcript
The graduated status reconciliation section seeks to identify discrepancies between data that your institution submitted during the Enrollment Reporting for compliance process and the DegreeVerify process to ensure consistency across your institution’s SIS, the Clearinghouse, and NSLDS.
It is recommended that you complete this section before you start on your Student Level Reporting.
In the Before you Begin section, under the graduated status reconciliation tile, select the Review Student Data button.
This will populate a list of students that we received a degree for, but a graduated status was not applied to the corresponding program on the student's enrollment record.
Reviewing and addressing this list will allow you to update these missing graduated enrollment statuses and the data can then be used to enhance your FVTGE reporting. Since a program will need 30 or more completers for the program to be included in your FVTGE reporting, completing this section could potentially add additional programs or students to your Completers List and Student Level Reports.
You can update a student's Program Status and Program Status Effective Date by checking/unchecking the box next to the student's name and selecting 'Update Program Information'. You can select one student at a time or multiple students at a time if they have the same program status and program status effective date. A pop-up window will display where you can enter the program status and program status effective date.
Updating this information will move the students to the 'To Be Updated' tab.
If no update is needed, take the same action by checking the box next to the students name and selecting 'No Update Needed.
If you are seeing a large volume of students on this list, you may send a Graduates Only enrollment file to batch update the records. The list of students can be downloaded to help identify students that need to be updated and sent via the Graduates Only enrollment file. Please contact us if you need assistance with scheduling or submitting a Graduates Only enrollment file.
As you work this section, it’s recommended to periodically refresh the table to get the most up-to-date information especially if your institution has since submitted additional students with graduated enrollment statuses.
When finished making updates, select Mark as Complete. When you select the Mark as Complete button, we will create a graduates only enrollment file that will trigger the update of these records in our system. If there are any or errors or warnings that populate on the Graduates Only enrollment file, an Error Resolution Report will be generated and posted for your Submission Data and Submission Data Alternate contacts to review and address.
If you already generated your Student Cohort Files, we recommend regenerating those files once the Graduates Only enrollment file has been processed. If you are wanting to request an updated draft Completers List based on the updates you made to the Graduated Status Reconciliation list, the Graduates Only enrollment file will need to be loaded into our database and sent to NSLDS before requesting a new Completers List from NSLDS.
If you need assistance determining if the Graduates Only enrollment file has been processed and sent to NSLDS, please reach out to us and we can assist with confirming that information.
After marking the section as complete, if you need to make edits, click Revert Completion Status.
Any unprocessed Graduates Only enrollment files we have for you in-house that were generated when you earlier completed this section will be rejected. Any Graduates Only enrollment files previously generated that have been processed will not be rejected because the data has already been loaded into our enrollment database.
Going back to the landing page, you will see that the Graduated Status reconciliation section has been completed. You can proceed with the remaining reporting sections.
We are here to help you go through the process, so please reach out to us if you have questions. Thank you.
